Building And Leading The Vendor Team

Updated: Feb 6

The average wedding has 14 individual #weddingprofessionals or 14 individual companies working together to build the ideal wedding for the client. For larger weddings we see closer to 20-30 #weddingvendor companies.

So, how do you build a #creativewedding team that is large, organized, professional, responsive, creative and client focused? Every client wants that, every planner wants that for their client. Here are a few important factors to keep in mind. This is so important because when it works well, it is #weddingmagic.

As planners, the most important thing we do with a client is to understand their goals. What #weddingstyle do you have? What are the most important factors for you and your family? What is your #weddingbudget? What will the flow of the day look like? We can take this information to start narrowing down our vendor search.

#Weddingexperiencedplanners , that is planners that have 10+ years of experience under their belt who manage 50+ events per year , tend to have a good handle on the vendors in the community and can give you #realtime information their work and who you may be interested in. Plus, having a planner will save you hours of time reaching out to countless vendors that may or may not even be a good fit for your wedding.

Not everyone who claims to be a wedding professional is truly a professional. The reality is the #eventindustry has a really low bar- actually no bar. Anyone can start a business pretty easily, set up a website and social media accounts and start offering services. At Blue Llama Events, we want vendors that care for our clients as much as we care for them. We want vendors that have the knowledge and experience to take care of the client to their expectation.

#Bluellamaevents is here to save our clients from making a potential mistake of hiring a vendor just based on cost. If it seems to good to be true, don't sign on the dotted line until we have the discussions and contract reviews to make sure you are protected in the event it is too good to be true.  The #bestweddingplanners have built  relationships and connections with vendors in the community and beyond. We do have an extensive approved vendor list for our clients. But we also enjoy working with those up and coming vendors that knock our socks off with their talent. Either way, our goal is to provide you with the team that matches your style, goals and your budget and we are confident that the companies we recommend will deliver the service that you deserve.

Throughout the #weddingplanning process, vendors need to work together seamlessly and professionally, for the sake of our clients and their events. We have to hire open minded, creative individuals to deliver exceptional service and have flexibility. At the start of wedding planning, you don't know what you don't know, vendors with flexibility will help you to navigate changes as your wedding plans evolve. Crazy things come up all of the time and and those relationships not just help the #weddingplanner but provide a huge amount of value to our clients as well.

Be sure to ensure that the companies you are looking at are legitimate legal entities and insured. More often than not, venues will require all vendors to be licensed and insured and request  all vendors to provide a COI ( certificate of insurance) . They are protecting themselves by working with established businesses and in turn they are protecting the client as well.

If you want to enjoy your wedding day without having to worry about timelines and logistics, hire a planner or coordinator that gets to know your event just as well, if not better, than you. Have your planner assist you in selecting the best vendor team , with the most value, to execute your timeline and run of show on wedding day. There is nothing more important than enjoying the day with the love of your life, your family and friends. Time and again, clients tell us we are the best investment they made into their wedding day. Because their is only one chance to make the day wonderful, invest in the team that will allow you to be present and in the moment. The more professional the team, the more enjoyable the day will be for you.
